Catering cost calculator: portions, food cost % and price per guest

Food cost percentage equals food cost divided by the price charged, times 100. To set a price, divide food cost by your target percentage. Caterers often target 28 to 35%. If food for an event costs $900 and you target 30%, charge $3,000, which is $30 per head for 100 guests.

The formula

Price = food cost ÷ target food cost % · Portions = guests × portions per guest × (1 + buffer %)

  • Buffer: extra portions for plate waste, late additions and tasting. 5 to 10% is typical.
  • Food cost: the ingredient cost of every portion you prepare, including the buffer.
  • Target food cost %: the share of the price that goes on food. Lower means more margin for labour and overhead.

How to calculate it step by step

  1. Multiply guests by portions per guest.
  2. Add a waste buffer to get portions to prepare.
  3. Multiply by ingredient cost per portion for total food cost.
  4. Divide food cost by your target food cost percentage.
  5. Divide the quote by guests for a price per head.

Worked example

100 guests, 3 portions each, $2.80 per portion, 8% buffer, targeting 30% food cost.

Quote$907.20 ÷ 0.30 = $3,024
Per guest$3,024 ÷ 100 = $30.24

Result. Quote about $30 per guest. Makeable then checks whether your stock covers 324 portions before you confirm.
